Cancellation & Refund Policy

We understand that plans can change. This policy explains when a consultation or agreed service can be cancelled, how much may be refunded depending on the notice given, and how refunds are handled. The aim is to keep the process clear and fair for everyone.

01 / OVERVIEW Cancellation and Refunds

Customers may request cancellation of a consultation or agreed service by contacting VERITAS through the official contact details provided on this website.

The refund amount depends on how much notice is given before the scheduled service date. The relevant notice period is measured from the time the cancellation request is received by VERITAS.

The cancellation time matters.

A cancellation is treated according to the date and time the request is actually received. Requests made on the scheduled service date fall into the 0% refund category.

02 / REFUND SCALE Cancellation Refund Levels

The following scale applies to eligible prepaid service amounts. It is based on the number of full calendar days remaining before the scheduled service date.

100%
3+ Days

Cancellation received at least 3 full calendar days before the scheduled service date.

70%
2 Days

Cancellation received 2 full calendar days before the scheduled service date.

30%
1 Day

Cancellation received 1 full calendar day before the scheduled service date.

0%
Same Day

Cancellation received on the scheduled service date is not eligible for a refund.

For example, if a service is scheduled for Friday, a cancellation received by the end of Monday qualifies for the 100% level, Tuesday for the 70% level, Wednesday for the 30% level, and Thursday or Friday falls outside the refund window.

03 / ELIGIBLE When You Can Cancel

A cancellation request can normally be made before the scheduled service date. We recommend contacting us as soon as you know that the appointment or service will no longer be required.

  • A consultation that has been booked but is no longer required may be cancelled before the scheduled date.
  • A service arrangement may be cancelled before the scheduled service date, subject to the applicable refund level.
  • A booking may be cancelled where the customer no longer requires the agreed service.
  • A customer may request cancellation where event plans have changed and the originally discussed arrangement is no longer suitable.
  • Cancellation requests received at least 3 full calendar days before the service date qualify for a 100% refund of the eligible amount paid.

Cancellation requests should be sent through the official contact details so that the date and time of the request can be recorded accurately.

04 / NON-REFUNDABLE When a Refund Is Not Available

Some situations fall outside the refund scale. Where a booking has reached the scheduled service date, or where the relevant service has already been provided, a refund will generally not be available.

Same-Day Cancellation

Cancellation received on the scheduled service date receives 0% refund.

Service Already Started

A service that has already started is generally not eligible for cancellation and refund.

Service Already Completed

Completed consultation or planning services are not eligible for a refund for unused time after completion.

Customer Non-Attendance

If a customer does not attend a confirmed consultation without providing reasonable notice, the booking may be treated as completed for refund purposes.

Unused Availability

Time reserved specifically for a confirmed appointment may not be refundable where the cancellation occurs too close to the scheduled date.

Agreed Third-Party Costs

Where a separate arrangement has been agreed involving third-party costs that cannot reasonably be recovered, those amounts may be excluded from a refund.

05 / PROCESS How Refunds Are Processed

Once a valid cancellation has been received, we will review the booking and determine the applicable refund level based on the date and time of the cancellation request.

  • The cancellation request is received and recorded.
  • The booking date and cancellation time are checked.
  • The applicable refund percentage is determined.
  • Any amount that is not part of the refundable service amount is identified where applicable.
  • The approved refund is arranged using the appropriate payment method and process.

Customers may be contacted if additional information is reasonably needed to complete the refund process.

06 / TIMING When Refunds Reach You

Once VERITAS has approved and initiated an eligible refund, the time it takes for the money to appear can depend on the payment method and the relevant financial institution.

Refund Processing

Approved refunds will normally be processed within 5 business days after the refund decision has been confirmed.

Bank Processing

After processing, the receiving bank or payment provider may require an additional 3–10 business days for the funds to appear.

Total Expected Period

In normal circumstances, customers should allow up to 15 business days from refund approval for the funds to become available.

Delayed Refunds

If the refund has been processed but has not appeared after the stated period, please contact us so the transaction can be reviewed.

07 / CHANGES Rescheduling Instead of Cancellation

In some cases, changing the appointment date may be more suitable than cancelling the booking altogether.

A rescheduling request should be made as early as possible. Any new date or time remains subject to availability.

  • Requests made before the scheduled date can be considered for an alternative available appointment.
  • A new appointment is not confirmed until VERITAS confirms the new date and time.
  • Repeated changes may require the booking to be treated as a cancellation and new booking arrangement.
  • Changes requested on the scheduled service date may not be available.

08 / EXCEPTIONS Exceptional Circumstances

We understand that unexpected circumstances can sometimes affect an appointment. If something unusual has happened, please contact us and explain the situation as soon as reasonably possible.

We may review exceptional circumstances individually. Any alternative arrangement or refund outside the standard scale is considered on a case-by-case basis and does not create an automatic entitlement to the same arrangement in another situation.

Changes outside our reasonable control

If an agreed service cannot reasonably proceed because of circumstances outside our reasonable control, we will discuss the available options with the customer and, where appropriate, offer a reasonable alternative arrangement.

09 / DISCLAIMER Important Service Disclaimer

Refunds apply to eligible amounts under these terms.

VERITAS will make reasonable efforts to process cancellations and eligible refunds in accordance with this policy. However, the timing of funds reaching a customer can be affected by banks, payment providers, weekends, public holidays, processing schedules and other circumstances outside our reasonable control.

VERITAS is not responsible for delays caused solely by a customer’s bank or other payment service provider after a refund has been correctly processed.

Where third-party arrangements form part of a separately agreed service, the cancellation or refund conditions of those arrangements may also apply where they have been clearly communicated before the service is confirmed.

Nothing in this policy is intended to remove or restrict any rights that cannot lawfully be excluded or limited under applicable law.

10 / CONTACT Cancellation Requests

If you need to cancel, change or ask about a refund, please contact us as soon as possible. The time we receive your cancellation request is used to determine the applicable refund level.
