These terms explain how our consultation and event planning services work, what customers can expect from us, how bookings are handled, and the responsibilities of both sides before and during an agreed service.

01 / INTRODUCTION About These Terms

These Terms & Conditions apply to the use of the VERITAS website and to consultation, planning and related event coordination services arranged with VERITAS.

The purpose of these terms is to keep the booking process straightforward and to make the main responsibilities clear before a service is arranged.

By requesting a consultation or agreeing to a service arrangement, the customer confirms that they have had a reasonable opportunity to review these terms.

These terms work together with the specific service arrangement.

Where a written quotation, booking confirmation or separately agreed service description contains specific arrangements for a particular booking, those details will apply to that booking alongside these general terms.

02 / SERVICES Our Services

VERITAS provides event planning and coordination services designed around the requirements discussed with each customer.

Event Planning

Planning support for meetings, company events, award ceremonies, parties and other organised occasions.

Scheduling

Assistance with timelines, running orders, schedules and the practical flow of an event.

Guest Coordination

Planning support for guest lists, seating arrangements and related organisational details.

Event Coordination

Coordination of agreed event elements according to the scope discussed and confirmed with the customer.

The exact services included in a booking depend on the agreed scope. Not every service or activity is automatically included in every booking.

03 / BOOKING Booking Requirements

Consultation and service requests should be submitted in advance. This allows us to understand the requirements, review availability and decide whether the requested arrangement can be accommodated.

  • Consultation requests must be submitted at least 1 calendar day before the requested consultation date.
  • Same-day consultation bookings are not available.
  • A booking request does not become a confirmed booking until VERITAS has confirmed the arrangement.
  • The requested date and time remain subject to availability.
  • Customers should provide accurate contact information when submitting a booking request.

04 / CONSULTATION Consultation Arrangements

A consultation gives us an opportunity to understand the customer’s event, discuss practical requirements and establish what type of planning or coordination support may be suitable.

Topics may include the event format, expected attendance, venue, timetable, guest arrangements, seating, programme flow, coordination requirements and other information relevant to the proposed service.

A consultation itself does not automatically create an obligation for either side to proceed with additional services. Any wider service arrangement will be discussed and confirmed separately.

Consultation information should be reasonably accurate.

If important event details change after the consultation, the proposed service scope, schedule or pricing may need to be reviewed before the work proceeds.

05 / PRICING Prices and Service Scope

Prices shown on the website are intended to provide an initial indication of the relevant service or consultation arrangement. They should not automatically be treated as the final cost of a complete event.

Event requirements can vary considerably depending on factors such as event size, duration, venue, schedule, guest numbers, coordination requirements and the level of support requested.

Where a customer requires a broader service, the final scope and applicable price will be discussed after the requirements have been reviewed.

  • Any quotation is based on the information available when the quotation is prepared.
  • A significant change to the event requirements may require the quotation to be reviewed.
  • Additional services are not assumed to be included unless they have been discussed and agreed.

06 / PAYMENT Payment Arrangements

Payment arrangements are confirmed after the service requirements have been reviewed.

VERITAS does not process online payments through this website.

After the service details have been discussed, customers will receive payment information and booking arrangements through our official communication channels where payment is required.

Available payment methods may vary depending on the agreed service arrangement and customer requirements.

Payment details should be confirmed before payment is made.

Customers should use only payment information supplied through the official communication channels used for their booking.

07 / CUSTOMER DUTIES Customer Responsibilities

Good event planning depends on having accurate information and timely communication. Customers are responsible for providing the information reasonably needed to plan the agreed service.

  • Provide accurate booking and contact information.
  • Provide relevant information about the event and its requirements.
  • Notify VERITAS about significant changes as soon as reasonably possible.
  • Review proposed arrangements and provide feedback within a reasonable timeframe.
  • Ensure that permissions or approvals relating to the customer’s own event arrangements are obtained where required.
  • Follow any reasonable instructions or requirements that are necessary for the agreed planning process.

08 / CHANGES Changes to Event Requirements

Event plans can change as preparations progress. Customers should tell us about important changes as early as possible.

Changes may affect the timetable, planning requirements, staffing, coordination arrangements or other parts of the agreed service. Where a change materially alters the original scope, the proposed arrangement may need to be reviewed.

  • Minor changes may be accommodated where reasonably practical.
  • Significant changes may require a revised service scope.
  • Changes requested close to the event date may not always be possible.
  • Any additional service or work will be discussed before it is added to the agreed arrangement.

09 / CANCELLATION Cancellation and Refunds

Customers may cancel a booking by contacting VERITAS through the official contact details provided on this website.

Refunds, where applicable, are handled according to the Cancellation & Refund Policy applicable to the booking.

3 or More Days

Eligible cancellation requests received at least 3 full calendar days before the service date may qualify for a 100% refund.

2 Days

Eligible cancellation requests received 2 full calendar days before the service date may qualify for a 70% refund.

1 Day

Eligible cancellation requests received 1 full calendar day before the service date may qualify for a 30% refund.

Same Day

Cancellation received on the scheduled service date is generally not eligible for a refund.

The full cancellation and refund rules should be reviewed before confirming a service.

10 / THIRD PARTIES Venues and External Arrangements

Some events involve venues, suppliers, contractors or other external parties. Their availability, schedules and individual terms may affect the overall event plan.

Where an arrangement is controlled by a third party, VERITAS cannot guarantee that the third party will maintain a particular availability, schedule, price or arrangement unless this has been expressly confirmed as part of the agreed service.

  • Third-party availability may change without our control.
  • Third-party terms may apply separately to their own services.
  • Customers remain responsible for arrangements that they make directly with third parties unless otherwise agreed.
  • Where VERITAS is coordinating a third-party arrangement, we will communicate relevant information that becomes reasonably available to us.

11 / DISCLAIMER Planning Disclaimer

Event planning depends on information, timing and circumstances that can change.

VERITAS will make reasonable efforts to organise and coordinate the services that have been agreed. However, event arrangements may be affected by circumstances outside our reasonable control, including venue decisions, supplier availability, schedule changes, attendance changes, customer decisions or other external factors.

Planning information is based on the details available to us at the relevant time. We cannot guarantee that every element of an event will remain exactly as originally planned where circumstances change.

Where a change becomes known to us, we will make reasonable efforts to communicate it and, where practical, help identify an alternative arrangement within the agreed scope.

12 / LIABILITY Reasonable Limitations

We take reasonable care when providing our services and organising agreed arrangements. However, we cannot take responsibility for matters that are outside our reasonable control.

  • We are not responsible for independent decisions made by venues, suppliers or other third parties.
  • We are not responsible for delays caused by circumstances outside our reasonable control.
  • We are not responsible for inaccurate or incomplete information supplied by a customer where that information affects the service.
  • We are not responsible for changes made independently by customers or third parties without our involvement.
  • Nothing in these terms excludes or limits any liability or legal right that cannot lawfully be excluded or limited.
