At Veritas Services, we are committed to delivering professional event planning and coordination services in a timely and organized manner. This Service Delivery Policy outlines how our planning services are provided and what clients can expect throughout the engagement process.
Service Commencement
Service delivery begins after the client’s request has been reviewed, the scope of work has been agreed upon, and any required payments or deposits have been successfully received. A confirmation email or written agreement will be issued before work begins.
Planning and Coordination Process
Depending on the selected service package, our planning services may include:
- Event consultation and requirements assessment;
- Event timeline and schedule development;
- Guest list organization and management support;
- Seating arrangement planning;
- Venue and logistics coordination;
- Event flow and operational planning;
- Vendor communication and coordination assistance;
- Event-day preparation guidance.
Specific deliverables may vary based on the service package purchased and any custom requirements agreed upon between the client and Veritas Services.
Delivery Timeframes
Planning timelines vary according to the size, complexity, and requirements of each event. Estimated project schedules will be communicated during the onboarding process. Clients are responsible for providing requested information and approvals in a timely manner to avoid delays.
Client Responsibilities
To ensure successful delivery of services, clients agree to:
- Provide accurate and complete event information;
- Respond to requests for approvals, feedback, and documentation promptly;
- Supply necessary attendee, venue, and scheduling details when requested;
- Notify us immediately of any changes affecting the event.
Delays in providing required information may impact project timelines and delivery schedules.
Revisions and Modifications
Reasonable revisions may be requested during the planning process. Additional revisions, major scope changes, or requests made after key planning milestones may require additional fees and revised delivery schedules.
Third-Party Providers
Certain aspects of an event may involve third-party venues, suppliers, caterers, entertainers, or other service providers. While we coordinate with these parties when applicable, delivery timelines may be affected by their availability, responsiveness, and performance.
Event-Day Coordination
Where event-day coordination is included within the selected package, our responsibilities and level of on-site support will be clearly outlined in the service agreement. Any additional on-site requirements requested after project confirmation may incur supplementary charges.
Completion of Services
Services will be considered delivered once the agreed planning documents, schedules, coordination services, or event management support have been provided according to the applicable service agreement.
Force Majeure
Veritas Services shall not be held responsible for delays or interruptions caused by circumstances beyond our reasonable control, including but not limited to natural disasters, severe weather, government actions, transportation disruptions, venue closures, labor disputes, technical failures, or other unforeseen events.
